Working within People Services our HR Operations team are the central operational hub for all HR activity. We provide support to colleagues throughout their journey with GWR and are an essential support service across our organisation at all levels. We work together to ensure we deliver for our people, share knowledge, and help make GWR a great place to be.

About the job?

Working as part of the HR Operations team you will pro-actively manage data and documents held on our HR Systems ensuring compliance with GDPR and company processes. You'll maintain data integrity in our systems by regularly performing audit checks, and ensuring hierarchy is maintained.

You'll role is key to providing guidance and training to system users across the business, investigating and troubleshooting any issues raised with a focus on enhancing the user experience.

What you'll be doing?

Your main responsibilities will be:

  • Updating our HR Systems with personnel data and documentation ensuring any job changes are processed in line with payroll deadlines.

  • Supporting administration of PaperVision, our Electronic Personnel Filing System.

  • First line support for any HR System user queries through our HR helpdesk ticketing system. Escalating and tracking any complex issues with the supplier, HR Systems Manager, or IT team.

  • To deliver scheduled and ad-hoc data reporting requirements.

  • Support, share knowledge and empower users to make the most of our HR systems and be self-sufficient.

  • Implementing proactive checks to maintain and improve data integrity and processes.

  • Support creation and amendment of HR forms in the business forms system.

  • Conduct UAT (User Acceptance Testing) activities for scheduled system updates.

  • Building relationships with key stakeholders across the business, external suppliers, and system users.

  • Working with our HR Systems Manager to develop existing reporting capabilities., The is full time opportunity, working 37 hours across Monday to Friday.   • A good problem solver with excellent communication skills and a keen eye for detail.

  • Flexible in your approach to work and communication style; you'll be required to communicate effectively across a range of business areas.

  • Able to prioritise workloads to meet tight deadlines.


  • As a minimum you'll need to have:
  • Previous experience in managing large volumes of data ideally within HR Systems

  • Previous experience of maintaining data in accordance with GDPR regulations

  • Excellent attention to detail with a proactive approach to problem solving and improving processes.

  • Able to present and explain data to a wide range of audiences.

  • Advanced Excel skills to include complex formulas and macros.

  • Experience of Power BI would be desirable.
