Full Job Description

St Aidan's Catholic Primary School, Coulsdon is a very popular one form entry academy which places its children at the heart of all that it does. The role of School Business Manager is of huge importance to the successful running of our school. You will work closely with the Head of School to set the budget, process salaries, monitor spending, report the school's accounting position across the year and ensure that the academy is compliant and financially sound.

Key tasks and responsibilities:

  • Ensure the school's financial operating procedures are followed and all internal financial controls are consistently applied and adhered to


  • Ensure any issues raised by the internal and external auditors are responded to


  • Produce balanced budgets, management account information and financial plans for the school


  • Identify any financial risks to the approved budget and agree appropriate actions with the Head


  • Monthly VAT return from HMRC


  • Closing the accounts, preparation of working papers, liaising with external audit on all parts of the process


  • Teachers' pension end of year certificate and external audit


  • Attendance at finance and full governor meetings


  • Ensure that the procurement of goods and services is conducted in a controlled and effective way that delivers high quality solutions and value for money


  • Keep under review all contracts, service level agreements and licences


  • Ensure that all opportunities for income generation are considered


  • Approve and oversee the monthly payroll and related documents/reports


  • Review staff structures and workforce planning with the Head


  • Ensure all payroll and HR administrative tasks are completed by the school's admin team


  • Ensure all staff are provided with the correct contract and operational documents


  • Support the preparation of bids for additional funds for identified projects


  • Maintain finance related policies


  • Maintain compliance with Companies House and liaise with the EFSA


  • Ensure the school complies with the General Data Protection Regulation (GDPR) and Data Protection Act


  • Ensure timely and accurate submission of statutory and statistical returns


  • Maintenance of records in accordance with the school's data retention schedule, ensuring information security and confidentiality at all times
