Full Job Description

We currently have a vacancy for a Trainee Disbursement Accounts Assistant to join our well-established team, this is a rare and exciting opportunity for the right candidate. Full in-house training and support for this role will be provided day to day by Managers and the experienced team,

  • Assist offices with accounts-based queries - confirming funds/invoices received and sales invoices produced.

  • Sales Invoices: raising vessels FDA's, and sales invoices for charges incurred on behalf of owners, e/g light dues/storage charges etc. This may include specific owner requirements (re-types/max contributions) and Rebates.

  • Purchase Invoices: processing invoices correctly (posting figures for charges correctly), also including the correct allocation for each voyage, making sure any credit notes are allocated as advised by suppliers.

  • Chasing Suppliers for any invoices/credits.

  • Send 'Outstanding' lists to local offices to assist with chasing suppliers and to keep them aware of which files are outstanding.

  • System error amendments - Correcting any purchase/sales batch errors, also correcting any invoice/credit amendments,

  • Process Petty Cash / cheque lists / Cash to Master, making sure accounts are up to date and paid for month-end,

  • Keep up-to-date with all inboxes.

  • Checking and processing in-house invoices - adding supporting PDFS to reduce future queries.

    GCSE grade 4 or equivalent in Maths and English

  • Computer literate

  • Good communication skills

  • The ability to work within a team and independently

  • The ability to prioritise workload within strict guidelines and whilst under pressure

  • The ability to follow instructions with a professional and positive attitude
